At enquiry: define the requirement
- Customer requirement schedule with a revision and date.
- Nameplate photographs, existing drawings and relevant single-line diagrams.
- Installation environment and electrical / mechanical interfaces.
- Required delivery destination, date and commercial scope.
At proposal: compare like for like

Before order: close the gaps
Confirm the approved document revisions and all accepted departures. Distinguish existing reports from testing that will be performed for the order. Agree witness points, acceptance criteria and the process for technical changes.
Check model-specific energy registration where applicable and any project owner approval requirements. Supplier credentials and individual product acceptance should be assessed separately.
At handover: preserve traceability
- Final approved drawings and nameplate / serial identification.
- Agreed factory test records and inspection releases.
- Transport, storage, installation and maintenance instructions.
- Packing list, accessories and agreed spares.
- Warranty terms, contacts and the agreed process for reporting an issue.
